Create folders
Purpose
Create folders to the tender material.
Background
You need to create folders before you can upload files.
Things you should be attentive to
- Only tender administrators and material managers can handle tender material.
- Access a tender
- Go to "Tender specification documents"
- Click on "Create folder"
- Enter the folder name
- Click "OK"
Upload folders
Purpose
Upload folders with and without files in a tender.
Background
You can upload one or more folders with and without files in a Tender.
Things you should be attentive to
- Only tender administrators and material managers can handle tender material.
- You can upload a maximum of 150 files at a time.
- The feature is only available in Google Chrome, Edge and Opera browsers.
How to
- Open a tender
- Go to "Tender material"
- Click on the "Upload files" button
- Go to the "Upload folders" tab
- Click on the "Select folders" button and then select the folders you want to upload to the tender
- Check that all folders/files you want to include have ticks. Note that you can hover over files/folders that are crossed out and marked in red to see why they cannot be uploaded
- Choose if you want to extract .zip files
- Choose if you want to skip the top folder
- Click "OK" - The folders will now be created.
- You can then enter file information if you have uploaded files.
Upload files
Purpose
Upload the tender material.
Background
You can upload files with the role tender administrator and document coordinator. You can also delete and move files.
Things you should be attentive to
- Only tender administrators and material managers can handle tender material.
- Access a tender
- Go to "Tender specification documents"
- Open a folder
- Click "Upload files"
- Click "Add more files"
- Select the files through the file path
- Click "OK"
Transfer files and folders from an RIB Project
Purpose
Transfer files and folders from a project.
Background
You can transfer files and folders from a project, if the files you need to upload already exist in an RIB project. You need to have access to the project that you want to transfer from.
Things you should be attentive to
- You need access to the project you want to transfer files from.
- Only tender administrators and material managers can handle tender material.
How to
- Access a tender
- Select the "Tender specifications documents" in the left side
- Select the folder you want to transfer the files to (You can also just select the "Tender specifications menu" if you want to transfer the folders)
- Click the "Upload files" by the top toolbar
- Select the tab "Transferral"
- Select "RIB projects" and then the exact project you want to transfer from
- Find the files or folders and mark the files/folders to transfer
- Click "Transfer"
Transfer files and folders from a previous phase or round
Purpose
Transfer the tender material from a previous phase or round.
Background
You can easily transfer all the tender material from a previous phase or round. You can transfer both folders and files.
Things you should be attentive to
- You need access to the application you want to transfer files from.
- Only tender administrators and material managers can handle tender material.
How to
- Access a tender
- Select the "Tender specifications documents" in the left side
- Click the "Upload files" by the top toolbar
- Select "Tender phases"
- Select the folders you want to transfer (files will be transferred too)
- Click "Transfer"
- NB: If you want to only transfer files, select the files within the folders instead
Distribute the specification documents to other contracts
Purpose
Distribute the tender material to several contracts if you have a tender with several contracts.
Background
When you have a Tender with multiple contracts, you upload all the Tender specification documents and distribute the files to the contracts. This way you make sure that every contract gets access to exactly what they need to give a good and precise offer.
Things you should be attentive to
- Only tender administrators and material managers can handle tender material.
- This can only be done on a tender with multiple contracts.
- Access a tender
- Select the "Tender material" in the left side
- Click on the folder with the material and mark the files you want to distribute
- Select the "Distribute files" icon in the top toolbar and select which contracts you want to distribute the marked files to
