Create a submission requirement
Purpose
Create a submission requirement that your bidders must submit.
Background
When you create submission requirements, you require the tenderer to fill in what you are asking for. You can choose to create a data input requirement and a file upload requirement.
You can create as many requirements as you need.
When selecting data requirements, you create a submission requirement where the bidder needs to enter a specific type of data directly into the RIB Tender application.
When selecting file upload requirements, the bidder needs to upload a document as described.
Things you should be attentive to
- A delivery requirement MUST be completed by the tenderer, otherwise they cannot submit their offer.
- Only the tender administrator can handle submission requirements.
How to
Submission requirement about data input
- Access a tender
- Select the "Submission requirements" in the left side
- Click the "Register submission requirement" in the top left corner
- Select "Data input requirement"
- Enter a name for the requirement and elaborate with a description
- Select the "Edit" to create a data field
- Enter a name for the data field, select field type and select if the requirement needs to be mandatory or optional. Finish with OK
- Select if the requirement needs to be published for all or only the administrators (If the requirement is published to everyone, the Tender needs to be set up to the tendering procedure)
Submission requirement about file upload
- Create a submission requirement with "File upload requirement"
- Enter a name for the requirement and elaborate with a description
- Select if you want to use a document template
- Select which file formats that are accepted
- Select if you want to publish the requirement for all or only the administrators (If the requirement is published to everyone, the Tender needs to be set up to the tendering procedure)
- Finish with "OK"
Edit a submission requirement
Purpose
Edit an existing submission requirement.
Background
You can change in a delivery requirement that has been created - Even if the tender has started.
Things you should be attentive to
- If one or more tenderers have submitted an offer, it is not possible to edit a submission requirement.
- Only the tender administrator can handle submission requirements.
How to
- Get the bidder(s) to click "Withdraw tender offer"
- Access a tender
- Click "Submission requirements" in the left side
- Select "Edit submission requirement" in the top toolbar
- After editing, click "OK", and all bidders get a notification so they can submit again when they have been through the new submission requirements
Copy submission requirement
Purpose
Copy existing submission requirement.
Background
You can copy one or more existing submission requirements, from a previous phase or from another tender.
Things you should be attentive to
- Only the tender administrator can copy submission requirements.
How to
- Access a tender
- Click "Submission requirements" in the left side
- Select "Register submission requirement" in the top toolbar
- Click ' Copy requirements from phase or round ' / ' Copy requirements form another tender '
- Click on tender, which submission requirement you want to copy
- Select the submission requirement(s) you want to copy
- Click ' Copy '
