Set up an ESPD submission requirement
Purpose
Set up an ESPD submission requirement that your tenderers and applicants can complete.
Background
As a tender administrator you can create an ESPD submission requirement, where you create an ESPD template directly in the tender. You can also use an existing ESPD as a basis if you already have a template.
Things you should be attentive to
- You must be a tender administrator to be able to create submission requirements and edit the ESPD.
- If you are going to use an existing ESPD as a template, it must be in XML format.

How to
- Open the Tender (it has to be a prequalification or a public Tender)
- Go to the menu "Submission requirements"
- Select "Create submission requirement"
- Select "Common European Tender document (ESPD)"
- Fill out the information and choose if you want to create a new ESPD or reuse an already existing
- Click "OK"
- The ESPD-formula will open and you can now edit it
Reopen ESPD submission requirement after submission deadline
Purpose
Allow your applicants to change their ESPD after the submission deadline.
Background
As an administrator, you can reopen the submission requirement "ESPD" if there is a need for your applicants to be able to change their ESPD submission.
Things you should be attentive to
- Only the administrator can set the new ESPD submission deadline.
- All applicants will have the opportunity to change their ESPD.
- Changing the ESPD submission deadline generates an email to all applicants.
How to
- Access the Tender (It must be either a public tender or a prequalification)
- Go to the menu "Deadlines and conditions"
- Enter a new deadline for ESPD submission requirements and click "Save".
Request applicants/tenderers for ESPD documentation
Purpose
Give your qualified applicants/tenderers the opportunity to upload ESPD documentation.
Background
As a tender administrator, you can allow qualified applicants/tenderers to upload ESPD documentation after the submission deadline.
Things you should be attentive to
- Only the administrator can allow the upload of ESPD documentation.
- Only qualified applicants or accepted tenderers can upload ESPD documentation.
How to
Enable the feature
- Access the Tender (It must be either a public tender or a prequalification)
- Go to the menu "Prequalification result"/"Tender result" and click on the register a result button
- Here you can tick "Allow qualified applicants/winners to upload ESPD documentation after publication of results"
NOTE: If you want more help with registering your result, go to this guide: Close a tender - Finish with "OK"
- Selected users will receive a notification to upload ESPD documentation, and tender administrators will receive a notification when ESPD documentation has been uploaded.
View the uploaded ESPD documentation
- Access the Tender (It must be either a public tender or a prequalification)
- Go to "Submitted applications"/"Submitted offers" and select a specific company
- The ESPD documentation appears under the ESPD requirement, and can be downloaded here.
