Add a user
Purpose
Add a user to a project.
Background
As a project administrator you can add users to a project. It is possible to add users on both the web application and the mobile application.
Things you should be aware of
- You must be project administrator to be able to add users to a project.
- If a user does not already have a user with RIB, you will be offered to send them an invitation så they can create a profile.
How to
- Go to the module "Project administration"
- Choose the menu "Users"
- Choose the function "Invite user"
- A new window will appear. Here you can see a list over companies which already have projects assigned, and there registered users. (This is also were you have the opportunity to add the users below)
- Enter the users information and click "Add"
- Specify the users rights
Assign user rights
Purpose
Edit the rights of a user.
Background
When a user is added to a project, it is important to assign them rights, so the user has access to files etc. At any given time you can alter assigned rights.
When you assign rights, go through the following tabs:
Personal data - Information about the user.
Access - Used for choosing the modules the user should be able to access. (Notice: you must also assign rights for the following modules).
Admin.-roles - Used for assigning the users administrator rights.
Groups - Groups give access to the workspace. A user is member of a group, and the group has rights to certain folders in the workspace.
Publication - Used for giving rights to document lists in the Publication space.
Distribution - Used for giving right to distribution lists in the Distribution space.
Notification - Used for changing the users notification settings.
Synchronization - Used for copying rights from other users, and making user-chains.
Version set - Used for giving rights to version sets.
Things you should be aware of
- You must be project administrator to be able to assign user rights.
- If a user needs access to folders in the Workspace, they have to be member of a group.
How to
- Go to the module "Project administration"
- Choose the menu "Users"
- Click on a user - A new window will appear in which you can adjust the users rights
Folder rights for the Workspace
Purpose
Create groups and assign folder rights for the Workspace.
Background
The function "Groups" is used to assign rights for the Workspace. The user must be member of a group for you to assign the group rights for specified folders in the Workspace.
There are created standard groups eligible for you to use on projects, but it may occur, that you need to adjust the specific group rights.
The following rights can be assigned to groups in the workspace:
- Download files
- Upload files
- Copy files
- Delete files
- Administer folders
Things you should be aware of
- You must be project administrator to be able to create groups and adjust the folder rights for the Workspace.
How to
Create a group
- Go to the module "Project administration"
- Right click on "Groups" and select "Create groups"
- Click on "Create group"
- Enter a group name and select the group members
- Click on "OK"
Assign rights to a specific folder in the Workspace
- Select the module "Workspace" and mark the folder to which the rights shall be assigned
- Click on "Set folder rights"
- In the new window it is possible to choose which groups that should be assigned the rights of the selected folder
- If the selected folder has sub folders, it is possible to "inherit the rights to the underlying directory".
- Finish with "OK"

Adjust the rights of a group for the entire workspace
- Select the top folder in the workspace
- Click on "Set folder permissions"
- Select the group
- A new window appears in which you have the possibility of adjusting rights all folders in the project
- Click on the small icons to the left of "Folder name"
- Finish with "OK"
Notifications
Purpose
Edit notifications.
Background
There will be sent notifications regarding new files by e-mail to the users of a project. This is determined by which areas and folders you have access to. Within the project you are able to edit which notifications you would like to receive.
Things you should be aware of
- You can also receive notifications from version sets which you have access to. This is made possible in the module for editing notifications.
How to
- Open a project
- Go to the module "Personal overviews"
- Click on "Projects settings"
- Select the function "Edit project settings" by the top toolbar
- Go to the module tab "Notification"
- Remove the check mark from the areas which you do not wish to receive notifications from and finish with "OK"
