Modules and menues
A Project consist of modules;
Project information, Workspace, Publication space, Distribution space, Communication, Project administration, Log and Personal overviews.
In this module you can find and edit the PN-number(can not be changed), address and other information about the project.
You can also see an overview of all users with administrator rights on the project. You can easily edit the users rights here.
The workspace is one of three modules used to the file handling. This module is where all the files are in the working process. It is not necessarily only the latest current files in the workspace.
This module consist of folders with subfolders to the files, and some submenues.
The publication space is the second of the three modules used to the file handling. This module is seen as the space where all latest current files are gathered.
This module consist of document lists with subfolders to divide the files, and some submenues.
The distribution space is the third of the three modules used to the file handling. This module is used to distribute files to users through distribution lists. It gives a good overview of the files you need to see.
This module consist of distribution lists with distributed document lists and some submenues.
This module is used to messages between users, and an address list of all related users of the Project.
Only project administrators have access to this module. You can see useful information about the Project, create an approval procedure, order backups, and see print orders, and also give rights to users.
This module is used to all history of a Project - both of files, procedures and users. As a project administrator you can create user defined filters to search advanced in the log.
In this module you can change your notification settings, see your print orders, order backups and see your user log.
Administration of users and rights
As a project administrator you add users and give rights to the Project.
User rights are given in the module Project administration.
Follow this article to get a detailed overview of user rights: User Access
File handling and files way through a Project
A file is usually uploaded in the workspace at first. This is where you handle the file as a 'work in progress'. You can upload multiple versions of the file when you have made changes. When the file/fileversion is the latest current file/done you can publish the file to the publication space.
The publication space is for all current file versions, and it is recommended that only administrators have access to this module. You can make sure that all files, revisions and versions published from the workspace are current files.
To send the files to other users, you distribute the files to the distribution space.
The distribution space is the module where you can customize all lists with the exact files the different users need to see. E.g you can make a distribution list to a contractor, so the users of this contract only can see important summaries of meetings, drawings, reports, etc.
When you are handling files you can use a lot of functions. Read the articles below to read about upload, download, publication and distribution and more:
- Upload files
- Upload/Publish files
- Download files
- Transfer files from other Applications
- Compare files
- Edit files (Metadata, Content and Locking)
- Change the location of a file (Delete, Move and Copy)
- Search for files
- Distribution of files
- Discontinue and Resume files
Approval procedure and approval of files
Approval procedures on a Project is to limit the publication of files to selected document lists. As a project administrator you can create these procedures exavtly as you want.

Functions in the three file modules
There is different functions in the three file modules; the workspace, the publication space and the distribution space. The pictures below gives an overall explanation of the modules and where the different functions are found.
Version sets can be used to create a snapshot of selected file versions in the Project. Even though new file versions are uploaded, the selected file versions will be locked in the version set. This is very useful to show files from different phases of the project.
Follow the articles below to get more information about version sets:
